Job Description

About The Role

We are recruiting for Training Support Officer, to be based in Doha, Qatar.

The Training Support Officer supports the Flight Deck Crew (FDC) and Fleet Training Management in their administration requirements while guiding the Fleet Training Coordinators to ensure highest degree of administrative support is provided to FDC ensuring regulatory requirements are met. The person will be required to have high degree of discretion and tact for smooth functioning of the Fleet Training Department.

Specific Responsibilities For The Role Include

Operational
Act as a point of contact between Training Management and various departments ensuring issues pertaining to the Fleet Training Pilots management office are closes in a timely manner.
Ensure Roster Updates are actioned on TOPS -Crew Roster system and all stake holders are informed of the same.
Review and monitor the Flight Operations Administration Manual and ensure training related matters kept updated at all times in liaison with team lead.
Ensure Training Support Coordinators maintain and follow up with Systems & Project Team for PTRMS (Pilot Training Resource Management System) issues and close the same.
Ensure training related Review boards are organised, meeting minutes are documented and the outcome is actioned in the stipulated time frame.
Maintain and update Pilot summaries ensuring they are accurate and reliable for the use of management.
Conduct periodical audits on the trackers and logs, fight deck crew records maintained by the Coordinators to ensure consistency within the team e.g. CMC cards and QPEL (QCAA personnel licensing) forms.
Manage Ex-staff requests for their training documents ensuring the Data Protection Act is compiled to and all approvals are sought prior to sharing the information.
Conducting daily flight records checks for the training completion and make arrangement for Management to complete the details on Line PTRMS ((Pilot Training Resource Management System).
Verifying QPEL forms to ensure they are completed as per QCAA (Qatar Civil Aviation Authority) regulations and uploaded on Edocs (e-documentation system).
Ensures bond is issued as per HR policy and pilots’ signatures are obtained prior training date and e-documentation actioned subsequently.
Ensures crew member certificates (CMC) for pilots are prepared and distributed in a timely manner.
Maintain and track processing of deck crew Instructor appraisal interviews and files and secure relevant approvals through workflow.
Analyse the training compliance data, generate reports and advise on the discrepancies and provide solutions to fix through the system.
System administrator for Pilot Training Records Management System (PTRMS) by monitoring the system, alerting management for any issues, recommending solution for the issues and liaising with IT to get them resolved.
Follow up on flight details through Crew rostering system (TOPS) and prepare report for the line manager as per business requirements e.g pilots rostered as on unpaid leave, sick leave etc..
Perform other department duties related to his/her position as directed by the Head of the Department.
